These Terms & Conditions govern the booking and use of travel services provided by Andean Luxury Experiences. By requesting, confirming, or paying for any travel service, the traveler acknowledges that they have read, understood, and accepted these terms.

1. Booking Confirmation

A booking is considered confirmed once Andean Luxury Experiences has received the required passenger information and the corresponding deposit or full payment, depending on the service booked.

Availability of hotels, trains, flights, entrance tickets, guides, transportation, and other travel services is subject to confirmation by the respective suppliers.

Submitting an inquiry or travel request does not guarantee availability.

2. Passenger Information

Travelers must provide accurate and complete personal information required to process their reservations.

This may include:

  • Full name as shown on the passport.

  • Passport number.

  • Nationality.

  • Date of birth.

  • Contact information.

  • Arrival and departure details.

  • Flight information.

  • Any additional information required by tourism authorities or service providers.

Andean Luxury Experiences will not be responsible for additional expenses, penalties, denied boarding, denied entry, or reservation problems resulting from incorrect or incomplete information provided by the traveler.

3. Prices

All prices quoted by Andean Luxury Experiences are based on the services, availability, number of passengers, travel dates, accommodation category, and itinerary specified in the corresponding proposal.

Unless otherwise indicated, prices are expressed in US Dollars (USD).

Prices may change before a booking is confirmed due to changes in availability, government fees, entrance fees, transportation costs, exchange rates, supplier rates, or other circumstances beyond our control.

Once the booking has been confirmed and paid, any applicable price changes will be handled according to the conditions of the service and supplier involved.

4. Payments

Payment schedules may vary depending on the type of itinerary and services booked.

A deposit may be required to confirm the reservation, with the remaining balance payable before the beginning of the trip.

The specific payment schedule will be provided in the travel proposal or booking confirmation.

Bank fees, international transfer fees, credit card fees, or payment gateway charges may be the responsibility of the traveler where applicable.

5. Deposits

Certain deposits may be non-refundable because they are used to secure services such as:

  • Machu Picchu entrance tickets.

  • Train tickets.

  • Domestic flights.

  • Hotels.

  • Inca Trail permits.

  • Special activities.

  • Private transportation.

  • Third-party services requiring advance payment.

Any non-refundable amount will be communicated as part of the booking conditions.

6. Changes Requested by the Traveler

Requests to modify confirmed bookings must be submitted as soon as possible.

Changes are subject to:

  • Availability.

  • Supplier policies.

  • Fare differences.

  • Administrative costs.

  • Modification penalties.

Certain services, tickets, permits, or reservations may not allow changes once issued.

Any additional costs resulting from a requested change will be assumed by the traveler.

7. Cancellation by the Traveler

Cancellation requests must be submitted in writing.

Cancellation charges will depend on the date of cancellation, the services included in the itinerary, and the cancellation policies of the suppliers involved.

Some services may be partially or completely non-refundable once confirmed.

These may include entrance tickets, permits, train tickets, airline tickets, hotels, cruises, special experiences, and other prepaid services.

The specific cancellation conditions applicable to each booking may also be indicated in the travel proposal or booking confirmation.

8. No-Shows

If a traveler fails to appear for a confirmed service without prior notice, the service will normally be considered a no-show.

No-show services are generally non-refundable.

This may apply to hotels, tours, transfers, flights, trains, excursions, and other confirmed travel services.

9. Cancellation or Modification by Andean Luxury Experiences

Andean Luxury Experiences reserves the right to modify an itinerary when necessary due to circumstances beyond its reasonable control, including:

  • Weather conditions.

  • Natural disasters.

  • Road closures.

  • Civil disturbances.

  • Strikes.

  • Government restrictions.

  • Transportation disruptions.

  • Flight cancellations.

  • Safety concerns.

  • Closure of archaeological sites.

  • Events of force majeure.

Whenever possible, we will provide an appropriate alternative service of similar characteristics.

Any additional costs resulting from circumstances beyond the control of Andean Luxury Experiences may be the responsibility of the traveler.

10. Force Majeure

Andean Luxury Experiences shall not be liable for failure or delay in providing services caused by circumstances beyond our reasonable control.

These circumstances may include, but are not limited to:

  • Earthquakes.

  • Floods.

  • Landslides.

  • Extreme weather.

  • Epidemics or pandemics.

  • Government decisions.

  • Political events.

  • Demonstrations.

  • Strikes.

  • War or civil unrest.

  • Transportation disruptions.

  • Closure of airports, roads, railways, or tourist attractions.

In these circumstances, we will make reasonable efforts to assist travelers and propose alternatives when possible.

11. Travel Documents

Travelers are responsible for ensuring that they possess all documents required for their trip, including:

  • Valid passports.

  • Visas.

  • Immigration permits.

  • Vaccination certificates when required.

  • Travel authorizations.

  • Any documentation requested by local authorities.

Travelers are also responsible for verifying entry and immigration requirements applicable to their nationality.

12. Travel Insurance

We strongly recommend that all travelers obtain comprehensive travel insurance before beginning their journey.

Travel insurance should preferably include coverage for:

  • Trip cancellation.

  • Trip interruption.

  • Medical emergencies.

  • Emergency evacuation.

  • Lost or delayed baggage.

  • Flight delays.

  • Accidents.

  • Adventure or trekking activities where applicable.

Andean Luxury Experiences is not responsible for expenses that could reasonably be covered by travel insurance.

13. Health and Physical Condition

Travelers are responsible for determining whether they are physically and medically fit to participate in their selected activities.

Some itineraries may involve:

  • High altitude.

  • Trekking.

  • Uneven terrain.

  • Long driving distances.

  • Remote locations.

  • Physical activity.

Travelers should inform Andean Luxury Experiences in advance of any condition or circumstance that may affect their participation in the itinerary.

Where necessary, travelers should consult a qualified medical professional before traveling.

14. High-Altitude Travel

Several destinations in Peru and Bolivia are located at significant elevations.

Destinations such as Cusco, the Sacred Valley, Lake Titicaca, and certain trekking routes may expose travelers to high-altitude conditions.

Andean Luxury Experiences recommends adequate acclimatization and encourages travelers to follow the advice of their physician and local guides.

15. Responsibility of Third-Party Suppliers

Andean Luxury Experiences works with hotels, transportation providers, airlines, railway companies, restaurants, guides, local operators, and other independent suppliers.

While we carefully select our partners, these companies operate independently and are responsible for the services they provide.

Andean Luxury Experiences cannot be held responsible for actions, omissions, delays, accidents, changes, or service failures caused directly by independent third-party suppliers, except where responsibility is established under applicable law.

16. Flights and Transportation

Flight schedules, railway services, and other forms of transportation are controlled by their respective operators.

Schedules may change without prior notice.

Travelers are responsible for arriving at airports, train stations, and meeting points at the time communicated in their itinerary.

Andean Luxury Experiences cannot guarantee schedules operated by third-party transportation companies.

17. Accommodation

Hotel accommodation is subject to availability.

Hotel categories and room types are based on the standards and classifications used by the respective destination or accommodation provider.

Early check-in, late check-out, upgrades, connecting rooms, specific views, and other special requests are subject to availability and cannot always be guaranteed.

18. Personal Belongings

Travelers are responsible for their passports, money, electronic devices, baggage, and other personal belongings.

Andean Luxury Experiences will not be responsible for lost, stolen, forgotten, or damaged personal items unless responsibility is established under applicable law.

19. Conduct of Travelers

Travelers are expected to behave respectfully toward other passengers, guides, staff, local communities, and service providers.

Andean Luxury Experiences may discontinue services to a traveler whose conduct seriously affects the safety, comfort, or well-being of other persons or interferes with the proper operation of the itinerary.

In such circumstances, additional expenses may be the responsibility of the traveler.

20. Photography and Media

Photographs or videos may occasionally be taken during travel experiences.

Images of travelers will not be used for promotional purposes without appropriate authorization where such consent is required.

Travelers who prefer not to appear in photographs or promotional materials should inform our team.

21. Personal Data

Personal information provided during the inquiry and booking process will be handled according to our Personal Data Protection Policy.

Information may be shared with relevant travel suppliers when necessary to arrange or provide the services included in the itinerary.

22. Website Information

Andean Luxury Experiences makes reasonable efforts to ensure that the information published on its website is accurate and current.

However, itineraries, photographs, descriptions, schedules, prices, and other information may change due to operational circumstances or supplier updates.

Website content should therefore be considered informational until services are formally confirmed in writing.

23. Acceptance of These Terms

By making a payment or confirming a reservation with Andean Luxury Experiences, the traveler acknowledges that they have read, understood, and accepted these Terms & Conditions.

The person making a booking on behalf of other travelers is responsible for communicating these conditions to all members of the booking.
