This Cancellation & Refund Policy explains the conditions applicable when a traveler cancels, modifies, or is unable to use travel services booked through Andean Luxury Experiences.
Because many travel services require advance payments to hotels, transportation companies, railway operators, airlines, entrance ticket providers, guides, and other third-party suppliers, cancellation charges may apply depending on the timing and conditions of each reservation.
By confirming a booking, the traveler acknowledges and accepts this policy together with our Terms & Conditions, Reservation Policy, and applicable Payment Policy.
1. Cancellation Requests
All cancellation requests must be submitted in writing through an authorized communication channel of Andean Luxury Experiences.
The effective cancellation date will be the date on which the written request is received by our team.
Verbal cancellations will not be considered final until they have been confirmed in writing.
2. Cancellation Charges
Cancellation charges may vary according to:
The date the cancellation request is received.
The type of itinerary booked.
Travel dates.
Hotels and accommodation selected.
Transportation services.
Airline and train tickets.
Entrance tickets and permits.
Private or specialized services.
Supplier-specific cancellation policies.
Payments already made to third-party providers.
The exact conditions applicable to a reservation may also be specified in the corresponding quotation, travel proposal, invoice, or booking confirmation.
3. Non-Refundable Services
Certain travel services may be partially or completely non-refundable once purchased or confirmed.
These may include:
Machu Picchu entrance tickets.
Inca Trail permits.
Train tickets.
Airline tickets.
Certain hotel reservations.
Promotional or special fares.
Private transportation.
Special events or experiences.
Third-party services requiring advance payment.
When a service has been issued or confirmed under non-refundable conditions, the corresponding amount cannot normally be recovered.
4. Refund Calculation
When a refund is applicable, the refundable amount will be calculated after deducting:
Non-refundable supplier payments.
Cancellation penalties.
Banking fees.
Payment processing fees.
Currency conversion differences where applicable.
Administrative or operational expenses already incurred.
Other non-recoverable costs associated with the reservation.
Any refundable balance will be communicated to the traveler after the cancellation has been reviewed.
5. Cancellation by the Traveler
If a traveler voluntarily cancels a confirmed reservation, any refund will depend on the specific conditions of the services already booked.
The earlier a cancellation request is received, the greater the possibility that some services may still be recoverable.
However, Andean Luxury Experiences cannot guarantee a refund for services that third-party suppliers have already confirmed, issued, or charged as non-refundable.
6. Partial Cancellations
If a traveler cancels only part of an itinerary, the remaining services may need to be recalculated.
A partial cancellation may affect:
Per-person pricing.
Private transportation costs.
Guide services.
Hotel rates.
Group or package discounts.
Other shared costs.
The revised price of the remaining itinerary will be communicated before changes are finalized.
7. No-Shows
If a traveler does not appear for a confirmed service without prior written notice, the reservation may be considered a no-show.
No-show services are generally non-refundable.
This may apply to:
Hotels.
Airport transfers.
Tours.
Train services.
Flights.
Excursions.
Private transportation.
Guides.
Other scheduled travel services.
8. Late Arrival or Missed Services
If a traveler misses a service because of:
Late arrival.
Missed flights.
Delayed connections.
Failure to arrive at the designated meeting point.
Incorrect travel documentation.
Personal circumstances.
the unused service may be non-refundable.
Any additional arrangements required to reconnect the traveler with the itinerary may result in additional costs.
9. Trip Interruption by the Traveler
If a traveler chooses to leave or interrupt an itinerary after travel has begun, unused services are generally non-refundable.
Andean Luxury Experiences will make reasonable efforts to assist the traveler where possible, but reimbursement will depend on the policies of the suppliers involved.
10. Changes Instead of Cancellation
When possible, travelers may request to modify or reschedule their reservation instead of cancelling it.
Changes are subject to:
Availability.
Supplier policies.
Fare differences.
Modification fees.
New travel dates.
Applicable seasonal rates.
Certain services may not allow changes once issued.
11. Refund Processing
If a refund is approved, it will be processed using an appropriate available payment method.
Processing times may depend on:
Banks.
Credit card companies.
Payment gateways.
International transfer providers.
Currency conversion procedures.
Andean Luxury Experiences will process approved refunds within a reasonable period after all recoverable funds have been confirmed by the relevant suppliers.
Additional processing time imposed by banks or payment providers is outside our control.
12. Refund Currency
Refunds will normally be processed in the currency in which the original payment was received or in another currency agreed with the traveler.
Andean Luxury Experiences is not responsible for:
Exchange rate fluctuations.
Bank conversion rates.
International transaction fees.
Charges imposed by the traveler’s financial institution.
As a result, the amount received by the traveler may differ slightly from the amount originally paid.
13. Credit Card and Payment Gateway Fees
Payment processing or credit card fees may be non-refundable if the corresponding financial provider does not return those charges.
Where applicable, such fees may be deducted from the final refund amount.
14. Bank Transfer Fees
For payments made by bank transfer, any bank charges associated with the original payment or refund may be the responsibility of the traveler unless otherwise agreed in writing.
The traveler is responsible for providing accurate banking information when a refund requires a transfer.
15. Cancellation by Andean Luxury Experiences
In exceptional circumstances, Andean Luxury Experiences may need to cancel or significantly modify a service.
If the cancellation is directly attributable to Andean Luxury Experiences and no suitable alternative is accepted by the traveler, we will evaluate the refundable amount applicable to services that have not been provided.
This provision does not apply in the same manner when cancellation results from force majeure, third-party supplier actions, government restrictions, or other circumstances outside our reasonable control.
16. Supplier Cancellations
Hotels, airlines, railway companies, transportation companies, tourism authorities, and other suppliers may occasionally cancel or modify confirmed services.
In such situations, Andean Luxury Experiences will make reasonable efforts to:
Arrange a comparable alternative.
Reschedule the affected service.
Obtain a supplier-authorized refund.
Offer another practical solution when available.
Any refund will depend on the amount actually recoverable from the supplier.
17. Force Majeure
Andean Luxury Experiences shall not be responsible for cancellations, delays, itinerary modifications, or service interruptions caused by events beyond our reasonable control.
These may include:
Earthquakes.
Floods.
Landslides.
Extreme weather.
Natural disasters.
Strikes.
Political disturbances.
Demonstrations.
Civil unrest.
Government restrictions.
Closure of roads, airports, railways, or tourist attractions.
Epidemics or pandemics.
Public health emergencies.
Transportation disruptions.
Other events of force majeure.
In these situations, refunds cannot be guaranteed because suppliers may impose their own restrictions.
Where possible, we will assist travelers in seeking alternatives such as:
Rescheduling.
Travel credits.
Replacement services.
Supplier-authorized refunds.
18. Machu Picchu and Regulated Entrance Tickets
Certain entrance tickets and permits are issued under rules established by tourism or governmental authorities.
Once issued, some tickets may:
Be non-refundable.
Be non-transferable.
Not permit name changes.
Allow only limited modifications.
Refund eligibility for these services will depend entirely on the regulations applicable at the time of booking.
19. Train and Airline Tickets
Train and airline tickets are subject to the fare conditions imposed by the respective operator.
Depending on the fare booked, tickets may be:
Non-refundable.
Partially refundable.
Non-transferable.
Subject to cancellation penalties.
Subject to modification fees.
Andean Luxury Experiences cannot override the conditions established by the transportation provider.
20. Hotel Cancellations
Hotel cancellation policies vary according to:

Room category.
Travel season.
Rate type.
Length of stay.
Promotional conditions.
Certain hotels may require full or partial prepayment and may impose stricter cancellation conditions during high-demand periods.
Any hotel refund will therefore depend on the conditions applicable to the confirmed reservation.
21. Group Reservations
Group bookings may be subject to specific cancellation conditions.
These may include:
Non-refundable deposits.
Earlier payment deadlines.
Room-release deadlines.
Minimum participant requirements.
Progressive cancellation penalties.
The conditions applicable to group reservations will be communicated separately when necessary.
22. Travel Insurance
We strongly recommend that travelers purchase comprehensive travel insurance immediately after confirming their reservation.
Travel insurance should preferably include coverage for:
Trip cancellation.
Trip interruption.
Medical emergencies.
Emergency evacuation.
Flight cancellations or delays.
Lost or delayed baggage.
Unexpected events affecting travel.
Travel insurance may provide protection in circumstances where suppliers or Andean Luxury Experiences are unable to issue a refund.
23. Documentation Required for Refunds
In certain circumstances, additional documentation may be required to evaluate a cancellation or refund request.
This may include:
Booking confirmation.
Proof of payment.
Medical documentation.
Airline cancellation notices.
Official documentation relating to a force majeure event.
Other relevant supporting documents.
Providing documentation does not automatically guarantee refund eligibility.
24. Processing of Approved Refunds
Once the refundable amount has been established and approved, the traveler will be informed of:
The approved refund amount.
Applicable deductions.
Payment method.
Any information required to process the refund.
Refund processing may begin only after the necessary supplier settlements and verifications have been completed.
25. Personal Circumstances
Cancellation resulting from personal circumstances such as illness, changes in travel plans, passport problems, visa issues, missed transportation, or other traveler-related circumstances will remain subject to the standard cancellation conditions of the reservation.
We strongly recommend travel insurance to reduce financial exposure in these situations.
26. Acceptance of This Policy
By confirming a reservation or making payment to Andean Luxury Experiences, the traveler acknowledges and accepts:
